The three things that matter most

Everything else in the software can be explained later. These three cannot.

One

Back up, and keep the backup somewhere else

Settings › Backup › Backup now. Save it onto a pen drive and take the pen drive home. The software also takes scheduled backups — but if they sit on the same computer, they are no help at all when that computer is stolen, drowned or simply stops.

Keep the recovery key away from the computer

Your books are encrypted; there is nothing to switch on and nothing to remember day to day. The one thing it asks of you is the key you were shown at setup. Keep it at home, in a drawer — not in the shop, not stuck to the monitor. A key beside the computer protects nothing from the person who takes both. While the machine still works you can look it up under Settings › Encryption. The day it stops, that piece of paper is the only thing that opens your books on a new machine. Nobody can recover it for you. Not us, not anybody.

Three

Your password is the lock on the whole thing

The screen locks itself after five minutes and gives your half-finished bill back when you type your password. Give every person who bills a login of their own under Settings › Users — every bill records who wrote it, which is only worth anything if people are not sharing accounts.

A business not billing under GST sees the older map — Data entry, Printing, Purchases and expenses, Items, Settings — with the ledgers and both party lists under Printing.

Questions people ask

Windows says “Windows protected your PC” and will not install it.

Click More info, then Run anyway. The installer is not yet signed with a code-signing certificate, so SmartScreen warns about it. Nothing is wrong with the file. Call us if you would like us to walk you through it.

I have forgotten my password and there is no email on file.

That is deliberate — there is no email in the software at all, so there is nothing to send a reset to. On the sign-in screen choose Locked out? Get a recovery code. Read us the code it shows; we generate a one-time unlock code with our private key that works on that one installation only, and entering it signs you in and forces a new password.

My bill is cut off at the right edge when I print it.

Open Settings › Print settings and turn on Print through Windows directly, then print one bill. That path asks the driver for the paper by the driver's own code, measures the part of the sheet the printer can actually reach, and fits the bill inside it. If it is still wrong, press Check this printer, then Copy this report, and send us the text — it tells us exactly what your driver is claiming.

The software says my books folder is missing.

Do not panic and do not let it start a fresh book. This happens when the drive the books are on is unplugged, has failed, or Windows was reinstalled. InBilling stops and offers any books it can find on the other drives, and lets you point at the folder yourself. If the drive is genuinely gone, restore your most recent backup — that is what it is for.

Can I move my books to another drive?

Yes, and you should if the computer has a second disk. Settings › Where the books are kept shows the current folder, says plainly when it is on the C drive, and moves them to one you choose. It copies, verifies the copy byte for byte, then switches over. Nothing is deleted — the old copy stays until you remove it yourself. Do not put the books themselves on a pen drive: one pulled out mid-sale can damage the file. Pen drives are for backups.

How do I get my old data in?

Items and customers import in bulk from a CSV — Data entry › Items or Customers › Import. Outstanding balances go in through Opening balances, per customer and per financial year, along with what was in the drawer and in the bank when the year began. Everything else is worked out from the entries after that. Ring us before you start and we will tell you the order to do it in.

Does it work on a Mac, or on a phone?

Not today. InBilling is a Windows program. An Android app has been designed in full and is the next thing we build — standalone first, with the desktop's own arithmetic shared between them so both devices always agree to the paisa. If a phone app matters to you, tell us; it moves things up the list.
