InBilling Day One — the six screens a shop uses every day

InBilling · Day one

Everything a shop does in a day, in six screens

You do not need to learn InBilling. You need to learn six things — list an item, sell, collect, check, reprint, reprice. This page walks one real shop through one real day on the real screens, filling each one in as it explains it, and the money adds up as you go.

Setting up · once per item

How do I add an item?

Open Items on the home screen and add the product. You cannot put something on a bill until it exists here — so this is the very first thing you do.

You only do this once per product. Tomato, onion, beans, potato — add them the day you start, and after that you just pick them while billing. A code is assigned automatically; you never have to invent one.

Where it is: the Items tile on the home screen. It opens the Item master.
  1. Open Items on the home screen — that is the Item master — and press Add item. You can also add one from the bill screen while billing.
  2. Type the Name — “Tomato – local”. Then choose how it is Sold by: Weight (kg) for anything put on the scale, Count for bags, crates and pieces.
  3. Put today’s Price in if you want the bill to fill it in for you — you can still change it on any line. Press Save item. That is the item made.

Sold by, in plain words. Choose Weight (kg) and the counter asks for kilos and prices per kilo — tomato, onion, beans. Choose Count and you pick a unit that is only a label on the bill — “10 bag”, “5 crate” — and the line is priced by the count, so anything sold per piece never needs the scale. The Price here is only a starting point: it fills the bill line in for you and you can overtype it any day.

How do I make a bill?

Open Data entry › New sale bill, pick the customer, type the item with its weight and today’s rate, add any Fee or Shipping, then save and print. The rate you type on a line applies to that bill only.

Anna Kitchen’s boy is at the counter with 51 kg of tomato. The bill screen is built around the keyboard — count, weight, rate, add item, each one an Enter away from the next. Watch the screen fill in as the steps go by.

Where it is: Data entry on the home screen, then New sale bill.
  1. On the home screen open Data entry, then New sale bill.
  2. Pick the customer — Anna Kitchen. A new customer can be added right here.
  3. Type the item and the weight. The rate fills in from the item — change it to today’s ₹28.50.
  4. Press Enter to add the line. Repeat for every item.
  5. Put the ₹120 for the tempo in Fee (Shipping is the same idea). Round off appears on its own row.
  6. Save. Bill number reads “Assigned when you save” until then. Print, or save a PDF.

Try it — change the rate and watch Round off move
Item Weight (kg) Rate ₹ Amount ₹
Tomato — local 0.00
Subtotal 0.00
Fee 120.00
Round off 0.00
Total (Sale Bill) ₹0

The one thing people get wrong. Changing the rate on a bill line changes this bill only. It does not change tomorrow’s rate. That is deliberate — vegetable rates move every morning, and the price you actually agreed is the price that has to be on the paper. Task 6 shows how to change it for good.

How do I record a payment?

Open Payment received under data entry, pick the customer, enter the amount and the mode, and add any discount you allowed. Both the amount and the discount come off the balance.

Anna Kitchen sends ₹1,000 by UPI and asks for ₹24 off because a few kilos were soft. There is no separate credit note to raise — both go on this one screen.

  1. Open Payment received under data entry.
  2. Pick the customer, the date and the amount — ₹1,000.
  3. Choose the mode: cash, UPI, bank transfer, cheque, or one you add yourself.
  4. Put the ₹24 in discount or credit. It posts against the balance too.
  5. Save. The payment gets its own receipt number — print it now or reprint it later.

The arithmetic, out loud. ₹1,574 billed, less ₹1,000 received, less ₹24 credit, leaves ₹550. That ₹550 is what Task 3 will show you — and it is the only number Anna Kitchen will care about tomorrow morning.

How do I see who owes me money?

For one customer, open their ledger — on a book that does not bill under GST the ledgers sit under Printing. For everybody at once, open Printing › Reports › Ageing balances.

Two questions, two screens. Learn which is which and you will stop hunting.

  1. One customer. Open their ledger, choose the dates, print it or save a PDF. Bills left, payments right, balance at the bottom.
  2. Everybody. Open Printing › Reports. Business summary, Purchase register, Balance sheet, Ageing balances, Running balances, Daily report, Money in / Money out, Profit and the rest — each takes a date range, prints, and exports to Excel.
  3. Today’s takings — Daily report: one day, what was sold and what came in.
  4. The dues — Ageing balances: who owes, and who has not traded with you in ninety days.

Two things worth knowing on the ledger. A customer who has paid too much shows as in credit, not as a minus number. And you can add a note against a customer — “promised Friday” — saved with your name and the date, so next week you know who was told what.

How do I reprint an old bill?

Open Printing › Sale bills, pick the date range, tick the bills you want, and press View. Each bill then has its own Print and Download PDF.

Anna Kitchen’s accountant has mislaid every bill from the first week of September. You do not need to find them one at a time.

  4. Press View. Each bill opens with Print and Download PDF on it; Page Down moves to the next ticked bill.

How do I change an item’s price?

For one bill only, overtype the rate on the bill line. For every bill from now on, open Items and change the Price there. Bills you already saved never change either way.

The market opens and tomato has dropped to ₹24. Picking the wrong one of these two is the most common mistake a new user makes.

The InBilling home screen with the Items tile highlighted
Where it is: the Items tile on the home screen.
  1. Just for today’s bill — overtype the rate on the line, the way you did in Task 2. The item is left alone.
  2. For every bill from now on — open Items, click the item’s name, change Price, save. The next bill fills in at the new rate on its own.
  3. Bills you already saved do not move. Every line keeps the rate you agreed on the day, and that is what reprints.

Step 1 and step 3 are real screens. Step 2 happens in the Add item dialog you saw in Task 1 — the same box, with the item already in it.

1 / 3

Ask yourself one question. “Is this the new normal, or is this just today?” New normal → change the item. Just today → change the line. Get that right and your item list stays honest, which is what makes the sales-by-item report worth reading at the end of the month.
Item list stays honest

That is the whole day

List it, bill it, collect, check, reprint, reprice. Everything else in InBilling — GST returns, mandi pattis, purchase registers, the balance sheet — is a road you take later, if your business needs it. These six are the road you are on now.

If you get lost, ask the program

Nobody remembers where everything is on day one, and you do not have to. Every signed-in screen has a small ? circle at the bottom right — and F1 opens the same thing from anywhere, even mid-bill.

  1. Type what you want to do in your own words — “customer paid me”, “print a ledger”, “old bill”. Not the name of the screen; you do not need to know it.
  2. It names the screen that does it. Press Where is it? and it tells you the walk — “From Home, open Data entry, then Payment received.” — so next time you go there yourself.
  3. Or press Open and it takes you straight there. Esc closes it.

It never points at a screen your login cannot open, and there is no service behind it: the answers live on your computer, like everything else in InBilling.

One more, before you go home

The whole financial record of the business sits in one file on one machine. A backup on that same computer is no help at all when the computer is stolen, drowned, or simply stops.

  1. Open Settings › Backup.
  2. Choose the folder — a pen drive or a second disk is the point — how often to back up, and how many to keep.
  3. Press Backup now. Take the pen drive home with you.
Never put the books themselves on a pen drive. One pulled out mid-sale can damage the file. Pen drives are for backups. If the computer has a second disk, move the books with Settings › Where the books are kept — it copies, verifies the copy byte for byte, then switches over.

Common questions

What if I cannot find a screen?
Press F1 anywhere in InBilling, or click the ? circle at the bottom right, and type what you want to do in your own words. It names the screen, tells you the way there from the home screen, and can open it for you. It works offline like the rest of the program.
Do I need internet to use InBilling?
No. InBilling needs no internet to install, to run, or to activate. Your books stay on your own computer, and nothing is uploaded anywhere.
What can I do during the 15-day free trial?
Everything works for fifteen days. The only thing locked on the trial is restoring a backup — the trial still takes backups and keeps them, and they restore the moment the book is licensed.
If I change an item’s price, do my old bills change?
No. Every saved bill line keeps the rate that was agreed on the day it was billed, and that is what reprints. Changing the price under Items only affects bills you make from then on. Changing the rate on a bill line affects that one bill and leaves the item untouched.
Where is the customer ledger if my shop is not registered under GST?
Under Printing. A business that does not bill under GST finds the ledgers there. Choose the customer and the date range, then print it or save it as a PDF from the same screen.
How do I reprint several old bills at once?
Open Printing › Sale bills, pick the date range, tick the bills you want — or the header box for all of them — and press View. Each bill has its own Print and Download PDF, and Page Down moves you to the next ticked bill.
Can I run two businesses on one computer?
Yes, but each set of books needs its own licence. A computer can hold three trial books at a time.
Does the printed bill show GST?
Only if you are registered. On a Basic, non-GST book the bill prints with no tax column. For a registered business, InBilling picks Tax Invoice or Bill of Supply automatically for each bill, from what is actually on it — you never have to choose.
What if I forget my password?
There is no email on file for anyone, so there is no self-service reset. The program shows a code for that one installation; read it to H&L Solutions and you get a one-time unlock code back, which logs you in and makes you set a new password straight away.
InBilling by H&L Solutions · This walkthrough covers InBilling Basic, a business billing without GST. On Advanced and Advanced Plus these same six screens work identically — there are simply more tiles beside them.
The screens on this page are the real InBilling screens, captured from the program, filled in with the worked example and lit up step by step. Figures come from that example, not from your books.
